How to select samples for testing and not redo the test report

A sample is not "any unit from the warehouse". Whether the test report is suitable for the document depends on how the sample was selected and recorded.

Formally, sample selection is a half-hour procedure. In practice, this is where weeks are lost, when it turns out that the test report does not fit the required scheme.

What sets the rules for sample selection

Three factors
01SchemeA series or a batch, and who selects
02Testing programHow many units and in what condition
03Typical representativeWhich modification represents the product line
The typical representative is chosen by the worst case: if it passes the tests, the other modifications are considered confirmed.

What is recorded in the sampling record

About packaging Samples are handed to the laboratory in their retail packaging and complete set, including the instruction: some requirements of the regulation apply specifically to the packaging and the operating documents.

Typical mistakes

How time is lost

  • Sending a single unit — it is not enough for destructive tests
  • Taking a sample from a pilot batch for a serial-production scheme
  • Sending the product without packaging and instruction
  • Not drawing up a sampling record

How to do it right

  • Confirm the number of units in advance, according to the testing program
  • Select from serial products made by the approved technology
  • Assemble the set the way the product will reach the buyer
  • Draw up the record and keep a control sample

Who selects the samples

The evidential value of the test report depends on this, and the difference is visible in any dispute.

Who selectsWhen it is usedWeight
Representative of the testing laboratorySchemes with sampling at the site or on the marketHighest: the sampling is recorded by an independent party
Representative of the certification bodyCertification of serial productsHigh
The applicant on their ownSome declaration schemesSufficient, but the responsibility lies fully with the applicant

Selecting the samples yourself is cheaper and faster, but during a check this is exactly where questions arise: what proves that the product tested is the same one you produce. The answer is given by the sampling record and careful identification of the sample.

The sample must come from the series, not be made "for testing" Making a specially neat unit is an understandable temptation and a direct path to an invalid test report. What is tested is what is actually produced: with the same raw materials, on the same equipment, in the same shift.

How many samples are needed

The exact number is set by the laboratory based on the test methods, but the logic is always the same, and it is useful to understand it in advance — so as not to send one unit where six are needed.

Confirm the number before sending: sending more samples later extends the timeline more than it seems, especially if the product comes from abroad.

How to deliver the sample without losses

Testing starts with acceptance, and some samples are rejected at this stage.

What to record for the future

A year later, when an inspection control or a dispute with a buyer arrives, it is impossible to remember the details of the sampling. So right after the sampling it is worth saving:

This set should be kept next to the test report: together they answer the main question of the inspector — whether the test relates to the product that lies on the shelf. How to check the laboratory itself and its accreditation scope — in a separate article.
